At Vinayak Dental Clinic, we are committed to providing high-quality dental care services tailored to your needs.
We understand that schedules may change, and appointments may need to be adjusted. This Refund & Cancellation Policy outlines how we handle such situations with fairness and clarity.

Appointment Cancellation & Rescheduling

✔️ Patient-Initiated Cancellations

If you are unable to attend your scheduled appointment, please notify us at least 24 hours in advance.
Appointments cancelled with at least 24 hours’ notice are eligible for full rescheduling without any penalty.
Same-day cancellations or no-shows may result in a cancellation charge or loss of booking deposit (if applicable).

✔️ Rescheduling

You may reschedule your appointment once without any additional fee, provided you inform us at least 24 hours prior.
Repeated last-minute rescheduling may lead to limited availability of preferred time slots in the future.

Refund for Prepaid Services

🧾 Consultations & Single-Visit Treatments

Payments made in advance for standard consultation or single-visit procedures are fully refundable if:

The appointment is cancelled 24 hours prior.
The clinic is unable to honor the appointment for any reason.If the patient cancels within 24 hours or fails to show up, no refund will be processed.

🦷 Multi-Visit / Full-Treatment Packages

If you prepay for a treatment plan involving multiple visits (e.g., aligners, root canal therapy, crowns, cosmetic dentistry):

You may request a refund before the first session, and a full refund will be provided.
If treatment has commenced, only unused sessions may be considered for partial refund after deducting administrative and session charges.

Completed treatment sessions are non-refundable.
Custom-fabricated items (e.g., crowns, bridges, aligners, dentures) are non-refundable once fabrication has begun, as they are made specifically for the patient.

Clinic-Initiated Cancellations

In rare circumstances, if we are forced to cancel or reschedule an appointment (e.g., doctor emergency, technical issue), you will:

Be offered the next available slot at your convenience.
Be eligible for a full refund of any prepaid amount if you choose not to reschedule.

Mode of Refund

Approved refunds will be processed within 7–10 working days via the original mode of payment.
For payments made via cash, a refund may be issued via cheque or UPI.

Non-Refundable Items

Consultation charges once the consultation has occurred.
X-rays, diagnostics, and cleaning once the procedure has been performed.

Any treatment once completed or if patient voluntarily discontinues midway without valid medical reasons.
